About CFSW

One body for the whole student experience.

The Center for Student Welfare (CFSW) at K.Ramakrishnan College of Technology is the faculty committee that initiates, coordinates and governs students' co-curricular and experiential learning across all nine departments.

From a 15-day internship to a four-day industrial visit, an inter-college contest to a department professional society or club — CFSW provides the standard operating procedures that make every activity smooth, safe and well-documented.

Five standing committees give every student a named person to turn to — for a grievance, an incident of ragging, a matter of discipline, substance abuse, or any complaint of harassment. Unless stated otherwise, all members are of K. Ramakrishnan College of Technology, Tiruchirappalli.

Functions of the Committee

  • To maintain a good relationship between student and student, and between student and faculty.

  • To support students in expressing their grievances freely and honestly, without any fear of being victimized.

Objectives

  • To monitor and oversee the performance of the anti-ragging squad in preventing ragging in the institution.

  • To conduct anti-ragging campaigns through flexes, posters and boards in the college premises and surrounding areas where there is a chance of ragging.

  • To conduct awareness programs on anti–ragging in the form of meetings for senior students, faculty and non–college personnel.

  • To meet whenever required and discuss relevant issues, in consultation with the Director and seeking his approval.

Roles and Responsibilities

  • Ensure the widest possible atmosphere for all women at all the places and facilities on the campus.

  • Facilitate registration of grievances related to women and sexual harassment on the UGC student grievance redressal portal.

Objectives

  • To preserve and protect the welfare of staff, students and the institution.

SOP 01 · Internship

Internship procedure.

Responsibilities

Internship Coordinator / Mentor

  • Oversees the entire internship placement process.
  • Ensures communication between students, faculty and industry partners.
  • Maintains records of all internship placements.

Faculty Advisors

  • Help students select internships aligned to academic & career goals.
  • Guide resume preparation and interview skills.
  • Approve proposals and monitor student progress.

Students

  • Prepare a resume and cover letter.
  • Apply, attend interviews and meetings as required.
  • Follow the rules of the hosting organization.

Procedure

  1. 01

    Proposal Submission

    Students submit a formal proposal to their faculty advisor — organization, position, start/end dates and learning objectives.

  2. 02

    Matching Process

    Advisors and the coordinator match students to suitable opportunities; industry partners interview and select.

  3. 03

    Confirmation

    The coordinator confirms details; students receive official confirmation from the industry by letter or email.

  4. 04

    Internship Period · minimum 15 days

    Students follow the host's schedule; advisors and the coordinator stay in regular contact with student and industry mentors.

  5. 05

    Evaluation & Feedback

    Industry mentors give periodic evaluations; students maintain a report of their learning experiences.

  6. 06

    Conclusion & Certification

    On completion students receive a certificate from the host and submit a final report to the advisor and coordinator.

  7. 07

    Documentation & Records

    Proposals, confirmation letters, evaluations and reports are archived; the coordinator reviews students through a presentation.

  8. 08

    Approval

    Students submit the industry confirmation letter for approval through the designated members.

SOP 02 · Industrial Visit

Industrial visit guidelines.

Protocols for organizing a successful and safe visit to an industrial facility — from planning and safety to conduct and post-visit follow-up.

State the purpose of the visit — educational, training or research.

Roles of organizers, guides and participants.

03 · Pre-Visit Planning

Scheduling, industry permissions and transport coordination.

Safety measures, facility rules and emergency response.

Any vaccination or medical-clearance requirements.

Date, time, location and a schedule of activities.

Rules to be Followed

  • An undertaking form from parents and students is collected before the scheduled date.

  • Each department may take approval for a different set of dates.

  • Different locations and industries are planned for boys and girls students.

  • The industrial visit bus enters and leaves the college only through the KRCT entrance.

  • A first-aid box must be available in the industrial visit bus.

  • Bursting of crackers is strictly prohibited inside and outside the campus during the visit.

  • No flags are permitted during the industrial visit.

  • HoD presence is mandatory while the industrial visit bus leaves the college.

SOP 03 · Participation Outside College

Workshops, seminars & contests.

A standardised procedure for KRCT students to take part in workshops, seminars, symposia, conferences and contests hosted by other colleges — ensuring smooth coordination, student safety and the best learning experience.

Responsibilities

Student Participants

  • Express interest in external events.
  • Comply with guidelines, deadlines and requirements.
  • Participate actively and represent KRCT professionally.

Faculty Mentor / Advisor

  • Identify events aligned to academic & professional interests.
  • Share dates, venues, registration and fee details.
  • Review and forward proposals to the HoD.

Head of the Department

  • Ensure students are informed about event details.
  • Review and forward proposals to the Head / CFSW.

Procedure

  1. 01

    Proposal Submission

    Submit a proposal to the faculty advisor with the event name, host institution, dates, objectives and academic relevance.

  2. 02

    Registration & Approval

    Advisor recommends; student registers per the host's process. If participants span departments, the HoD forwards to Head/CFSW — otherwise the HoD's approval is final.

  3. 03

    Travel & Accommodation

    Where required, students arrange travel and accommodation in advance.

  4. 04

    Participation & Conduct

    Attend punctually, participate actively, follow the host's code of conduct and represent KRCT professionally.

  5. 05

    Post-Event Report

    Submit a report on experiences and learning outcomes to the faculty advisor.
